Recording And Reviewing Availability

Availability helps production planners identify potential clashes. Use it as a planning guide and confirm specific arrangements with the person concerned.

Record Your Availability

  1. Select My Availability.
  2. Enter a Description for your own reference. The form states that only you see it; others see available or unavailable.
  3. Set Date From and, if needed, Date To.
  4. Either leave both Time From and Time To empty for the whole day, or fill in both times.
  5. Choose Available or Unavailable under Status.
  6. Select Add Availability.

A blank end date uses the start date. The start date cannot be later than the end date. If you enter one time, you must enter the other.

Remove A Period

Select an existing entry in your availability calendar and confirm Delete availability? when you intend to remove it.

Check Production Availability

Open a production's Availability, or Contacts → Contacts Availability, to use the Availability Calendar timeline. Set Start Date and End Date to examine the period concerned; the timeline also shows a month on either side.

A contact's Availability tab shows the recorded periods and may provide an Add Availability form. It explicitly asks you to confirm precise availability with the contact rather than treating the calendar as a booking.

Troubleshooting

An availability warning is a reason to investigate the dates and assignments, not proof that the person has accepted or rejected a call. Recording availability does not distribute a call sheet.
